Office & Grant Compliance Coordinator

Location: In office at Tank Fund Headquarters: Rapid City, South Dakota

Position Type: Full Time, At-will

Travel: up to 10 percent, including travel to Native ranches, events, and conferences.

Core Responsibilities

Office Coordination:

  • Oversee daily office operations to ensure a safe, organized, and efficient work environment

  • Serve as the primary point of contact for visitors, calls, emails, and general inquiries

  • Manage office calendars, meeting spaces, and scheduling logistics

  • Coordinate administrative support across teams, including document management and internal requests

  • Maintain office supplies, equipment, and inventory; manage vendor relationships and ordering

  • Support onboarding logistics for new staff (workspace setup, access, supplies)

  • Coordinate facilities maintenance, repairs, and workplace safety needs

  • Maintain internal office systems, protocols, and procedures

  • Assist with budgeting and expense tracking for office operations

  • Support organizational travels, events, meetings, and convenings (both in-person and virtual)

  • Ensure compliance with organizational policies and operational standards

  • Facilitate internal communication and help keep teams informed and aligned

  • Perform rudimentary banking and financial activities and maintain such records

Grant Compliance:

  • Manage a grants calendar to track deadlines, deliverables, and reporting requirements

  • Ensure compliance with funder guidelines, grant agreements, and reporting standards

  • Track grant expenditures in collaboration with finance to ensure proper use of funds

  • Prepare and submit timely progress, impact, and financial reports to funders

  • Maintain accurate grant records, files, and database systems

  • Build and steward relationships with funders, including foundations and institutional partners

  • Monitor grant performance and outcomes to support evaluation and future funding

Position Summary

The Office & Grant Compliance Coordinator manages post-award grant support, ensuring timely and compliant submission of grant obligations. They work closely with program, finance, leadership, and other Tanka Fund teams to gather information, develop budgets, track deadlines, maintain grant calendars, and fulfill reporting requirements for awarded grants. They ensure compliance with funder guidelines, prepare progress and financial reports, and help maintain strong relationships with funders. Overall, the role supports the organization’s sustainability by stewarding grant funding effectively.

Ten percent of the role involves travelling to relevant ranches, events and conferences as part of maintaining relationships with the community.

Additionally, the Coordinator is a warm, approachable, and patient professional who delivers high-quality, thoughtful customer service to the Tanka Fund staff, contractors, community members, and vendors. Reporting to the Operations Manager, this role is responsible for organizing and coordinating the administrative and logistical functions that ensure the Tanka Fund Headquarters operates safely, comfortably, and efficiently—including shared spaces such as meeting rooms, offices, the kitchen, and lobby.

Serving as the primary point of contact at the front desk, the Coordinator welcomes and assists visitors while also managing general communications, including phone calls, and emails. This role supports day-to-day administrative needs across the organization and helps maintain a positive and well-functioning workplace environment. The Coordinator also oversees organization-wide and headquarters calendars, coordinates internal communication protocols, manages administrative requests, and maintains office supplies and inventory. They also help coordinate maintenance needs and ensure smooth day-to-day operations across the workspace.

Qualifications

Required

  • 3 to 5 years of experience in communications, community outreach, marketing, or a related field

  • Knowledge of and experience working within Indigenous communities; preference given to individuals of Indigenous descent

  • Strong written and verbal communication skills, both internal and external

  • Experience in community outreach, recruitment, or relationship-based roles

  • Experience working with budgets, financial reports, and expense tracking

  • Ability to align program outcomes with funding requirements and metrics

  • Comfortable analyzing data and translating it into compelling impact report

  • Ability to coordinate across teams (program, finance, leadership)

  • Experience maintaining grant calendars, databases, and tracking systems

Preferred

  • Experience in nonprofit or mission-driven organizations

  • Familiarity with agriculture, conservation, or Indigenous food systems

  • Experience with project or obligation management

  • Bachelor’s degree in business or management

Compensation & Benefits

Hourly range = $21.00 - $23.75 per hour
